Terms of Service

The terms on which we provide corporate cab and employee transportation services — bookings, billing, cancellation, conduct on board, and what each side is responsible for.

01About these terms

These terms govern the use of the KS Travels website and the transport services provided by KS Travels ("KS Travels", "we", "us"). By using this website, requesting a quotation, or travelling with us, you accept these terms.

Where you have a signed service agreement, purchase order or accepted quotation with us, that document takes precedence over this page for anything it covers. These terms fill the gaps and apply in full to one-off and ad-hoc bookings.

02What we provide

  • Employee transportation on fixed daily routes, with dedicated vehicles and assigned drivers.
  • Corporate cab hire for executives, clients and visitors.
  • Airport transfers.
  • Outstation and event or occasion transport.
  • Ad-hoc and extra vehicles alongside a running contract.

Vehicles may be owned by us or supplied by verified partner operators under our supervision. In either case the service is delivered to the standards described in your contract, and we remain your point of contact.

03Quotations and contracts

  • Quotations are based on the routes, headcount, timings, vehicle type and frequency you give us. If those change materially, the price changes.
  • A quotation is valid for 30 days from issue unless it says otherwise.
  • A service starts once you confirm a quotation in writing, or issue a purchase order, or a route runs with your authorisation.
  • Monthly contract pricing is for the agreed route pattern. Additional trips, additional vehicles, route extensions and vehicle upgrades are billed on top.
  • Rates are exclusive of GST unless stated. GST is charged at the applicable rate.
  • Toll charges, parking, state permits and inter-state taxes are charged at actuals unless your contract says they are included.

04Bookings and changes

  • Route changes, stop additions and headcount changes should reach us at least one working day before they take effect, so the route can be rebuilt and the driver briefed.
  • A pickup-point change requested through the employee app takes effect from the next working day once your company and we have approved it. A vehicle already on the road keeps the stop list it started with.
  • Ad-hoc and same-day requests are accepted subject to vehicle availability.
  • We may substitute a vehicle or driver of equivalent standard where operationally necessary — a breakdown, a driver absence, or a maintenance requirement.

05Billing and payment

  • Contract routes are invoiced monthly in arrears, with a GST-compliant invoice and supporting trip logs.
  • Unless your contract states otherwise, invoices are payable within 15 days of the invoice date.
  • Disputed line items should be raised within 7 days of receiving the invoice, with the trip reference. Undisputed amounts remain payable while a query is being resolved.
  • We may suspend service on accounts materially overdue, after written notice.
  • One-off, event and outstation bookings may require advance payment or a deposit, which will be stated at the time of booking.

06Cancellation and no-shows

For contracted routes, the notice periods in your service agreement apply. Where no agreed term exists, the following defaults apply:

30 days written notice by either party, unless your agreement states otherwise.
Suspending a route (holiday, shutdown, low headcount)
At least 3 working days written notice. A dedicated vehicle held idle for you may still be billed, as it cannot be redeployed at short notice.
One-off or ad-hoc booking, cancelled more than 4 hours before pickup
No charge.
Cancelled within 4 hours of pickup
25% of the booking value.
Cancelled after the vehicle has been dispatched, or no-show at pickup
Full booking value.
Outstation and event bookings
Cancellation terms are stated on the individual quotation, as vehicles are committed in advance.

A passenger who does not board a contract route is marked as a no-show for that trip. It does not reduce the monthly charge, because the vehicle ran.

07Waiting time and route discipline

  • On daily employee routes, drivers hold at a stop for a short grace period and then continue, so the rest of the route is not delayed. The grace period is set in your contract.
  • For airport transfers, waiting is free for 45 minutes after the scheduled landing time, and for 15 minutes at any other pickup point. Beyond that, waiting is charged at the rate on your quotation.
  • Route deviations requested by a passenger on the day — an unscheduled drop, a detour — are at the driver's discretion, subject to safety and the rest of the route, and may be charged as extra distance.
  • We plan around normal traffic. Delays caused by traffic, weather, road closures, protests or police action are outside our control.

08Passenger conduct and safety

  • Seat belts must be worn. Passenger capacity stated for a vehicle may not be exceeded.
  • Smoking, alcohol and any illegal substance are not permitted in our vehicles.
  • Abuse of, or threat to, a driver is grounds for ending a trip immediately and, in serious cases, for suspending service.
  • Passengers are responsible for their own belongings. We will make reasonable efforts to return items left behind, but we are not liable for loss.
  • Damage to a vehicle caused by a passenger — including cleaning required after spillage or sickness — is chargeable.
  • Vehicles on duty are GPS tracked and journeys are logged. This is a safety and service-quality measure, and is covered in our Privacy Policy.

09Safety of women passengers

Corporate transport in India carries specific obligations towards women employees, including under the Sexual Harassment of Women at Workplace (Prevention, Prohibition and Redressal) Act, 2013, which treats employer-provided transport as an extension of the workplace. We operate accordingly:

  • Drivers are verified and trained on conduct towards passengers before being assigned to a route.
  • Vehicles on duty are GPS tracked, and our operations desk is staffed at all hours.
  • Where your contract provides for it, a woman employee is not scheduled as the first pickup or the last drop on a night route without a security escort.
  • Any complaint of misconduct by a driver is escalated immediately, the driver is taken off the route pending enquiry, and we cooperate fully with your Internal Committee and with the police where required.
  • Trip records, route logs and driver details relating to an incident are preserved and made available to your company for its enquiry.

10Our commitments

  • Drivers are police-verified, hold a valid commercial licence and are trained on conduct and safety.
  • Vehicles are commercially registered, insured, and hold a valid permit, fitness certificate and pollution certificate, as required under the Motor Vehicles Act, 1988 and the rules made under it.
  • Vehicles are cleaned and checked before duty, and maintained on a preventive schedule.
  • Our operations desk is reachable at all hours on the numbers published on this site.
  • Where a vehicle fails on route, we will arrange a replacement as quickly as operationally possible and tell you what is happening.

11Liability

  • We are liable for loss directly caused by our proven negligence, up to the value of the charges paid to us for the affected service in the month in which the loss occurred.
  • We are not liable for indirect or consequential loss — missed flights or meetings, lost business or lost profit.
  • We are not liable for delay or failure caused by events beyond our reasonable control: traffic and road conditions, weather, strikes, protests, civil disturbance, government or police action, network or power outage, epidemic, or an act of God.
  • Nothing in these terms limits liability that cannot be limited under Indian law, including liability for death or personal injury caused by negligence.
  • Vehicles carry insurance as required by the Motor Vehicles Act. Claims arising from a road incident are handled through that insurance.

12Partner vehicle owners

If you attach your vehicle to our fleet through the form on this website, the following apply in addition to any separate agreement:

  • You must hold and keep current a valid commercial registration, permit, insurance, fitness certificate and pollution certificate for the vehicle, and provide copies on request.
  • Your driver must hold a valid commercial driving licence and pass our verification.
  • Details you submit — including identity and bank details — are used for verification and payment, and are handled as described in our Privacy Policy.
  • Payouts are made to the bank account you register, on the cycle agreed at onboarding.
  • Either side may end the arrangement with written notice. We may suspend a vehicle immediately on a safety or conduct concern.

13This website and the assistant

  • The content, branding, photographs and layout of this website belong to KS Travels and may not be copied or reused without written permission.
  • The chat assistant on this site is automated. It gives general information and indicative answers only — it does not create a booking, a price or a contract. Anything it tells you is confirmed by our team before it becomes binding.
  • Fleet images are representative. The exact vehicle allotted may differ in colour or variant within the same class.
  • We may change the website and its content at any time.

14Complaints and grievance redressal

Service complaints, billing queries and any grievance about these terms should be raised with our Grievance Officer:

Safety incidents are treated as urgent and are acted on the same day. Grievances concerning personal data are handled under our Privacy Policy.

15Governing law and disputes

These terms are governed by and construed in accordance with the laws of India, including the Indian Contract Act, 1872, the Motor Vehicles Act, 1988, and applicable GST legislation.

The parties will first attempt to resolve any dispute in good faith between themselves. Failing that, the courts at Delhi shall have exclusive jurisdiction, unless your signed agreement specifies a different seat or arbitration.

Nothing in these terms restricts any right you may have under the Consumer Protection Act, 2019, where it applies to you.
